FileIntell1. Who we are
FileIntell is a desktop application published by JRICKSS Financial Services LLC ("we", "us"). You can reach us at customerservice@jrickss.com.
2. What FileIntell does with your data
FileIntell watches a folder on your computer, reads each incoming document, identifies the document type and the client it belongs to, renames it, and files it into your own folders. All of this happens on your machine and in your own storage.
3. What we collect
We do not collect your documents, your client list, your filing history, or your API key. None of that is transmitted to JRICKSS or stored on any server we control. Your settings, your AI key, and any learned identifiers are stored encrypted on your own computer using your operating system's secure storage.
When you buy a license, we do collect the basics needed to sell and support the product: your email address, your plan, and a license key. Payment is handled by our payment processor, Stripe, and we do not see or store your full card details. We use this information to send you your key, provide support, and manage your subscription, and we do not sell it. On the managed plans we also keep a running count of your monthly AI usage so we can apply your plan allowance. That count is a number only, never the content of your documents.
4. The AI reading step
To recognize a document, FileIntell sends it to an AI provider (Anthropic's Claude API) using the API key you enter, which is billed to your own account. The path is: your computer, to Anthropic, and back. It does not pass through us.
- Anthropic does not use API inputs or outputs to train its models unless you explicitly opt in.
- Anthropic automatically deletes API data within 30 days.
- A zero data retention agreement is available from Anthropic for organizations that need it.

5. Sensitive information
Documents may contain personal data, including Social Security numbers and immigration identifiers. FileIntell only stores and displays the last four digits of a Social Security number, never the full number.
6. Honest limits
FileIntell is not fully offline. The AI reading step uses the cloud. We state this plainly so you can make an informed choice. FileIntell does not currently carry HIPAA or SOC 2 certification. If your work requires those frameworks, the recommended path is a zero retention or business associate agreement with your AI provider.
7. The website
fileintell.com is a simple informational site. We do not sell your data. If we add analytics or contact forms in the future, this policy will be updated to describe them.
8. Your responsibilities
Because documents are processed through your own AI account, you are responsible for ensuring your own client agreements and professional obligations permit cloud processing of those documents.
9. Changes
We may update this policy. The date below reflects the latest version.
